GE Centricity archive and legacy data retirement

The short answer: A GE Centricity archive preserves the clinical, practice management and revenue cycle history held in Centricity EMR, Centricity Practice Solution or Centricity Business so those systems can be retired. BytePad from InterScripts keeps the record retrievable for chart recall, release of information, legal hold and receivables workdown, with AI Global Search across documents.

Why do organizations archive and retire Centricity?

Centricity was GE Healthcare's brand for a family of clinical and business systems, including products that came from GE's 2006 acquisition of IDX Systems. In 2018 GE sold Centricity Business, Centricity Group Management, Centricity Practice Solution and Centricity EMR to Virence Health, a Veritas Capital company. Veritas acquired athenahealth in 2019 and combined it with Virence, and in 2020 athenahealth renamed Centricity Business to athenaIDX.

Many practices and health systems still hold years of history in a Centricity EMR or Centricity Practice Solution database after moving to athenaOne or to an enterprise EHR, and some revenue cycle teams keep Centricity Business running only to answer audits and work old balances. Archiving that history lets the organization retire the server, the license and the support effort while keeping the record available.

What does a Centricity archive need to preserve?

Scope the archive around the jobs it must do once Centricity is gone: chart recall, release of information, audit and legal hold, receivables follow-up, and retention through disposition.

Clinical record

  • Ambulatory visit documentation and chart notes
  • Problem lists, medications, allergies and immunizations
  • Laboratory results and orders
  • Vital signs, flowsheets and preventive care history
  • Referral letters and care coordination history

Revenue cycle

  • Practice management history: appointments, registrations and charges
  • Centricity Business claims, payments, adjustments and account notes
  • Claims and remittance history, including X12 837 and 835 where retained
  • Open balances and denial history for workdown

HIM and release of information

  • Patient identity and merge history between practice management and EMR
  • Release-of-information requests and disclosure history
  • Chart sign-off and amendment history
  • Access audit history

Images and documents

  • Scanned documents and outside records attached to the chart
  • Faxed results and correspondence
  • Signed consents and patient forms
  • Letters and documents generated from the EMR

What should you plan for when extracting Centricity data?

  • Centricity products were sold, renamed and in some cases re-platformed over time, so begin by confirming exactly which product and version each site runs and whether it is installed on-premises or hosted. Two practices that both say they run Centricity may have very different databases.
  • Practices that ran Centricity EMR or Practice Solution often have clinical data and practice management data in related but separate stores. Plan identity matching between them so each patient appears once in the archive with both clinical and financial history.
  • Customized forms and templates are common in Centricity clinical products. Map them to readable archive views and validate the result against sample charts with clinical reviewers, because a form that looks complete on screen can be spread across several underlying tables.
  • For Centricity Business, which now continues as athenaIDX, plan the receivables cut-off date with finance before extraction so that open balances and their history move together.

How long must Centricity records be retained, and what about legal holds?

Ambulatory records follow state rules for practitioner records, which vary by state and run longer for minors. Hospital-based departments that used Centricity products also fall under the Medicare Conditions of Participation minimum of 5 years (42 CFR 482.24), and payer contracts can require billing records to be kept longer than the clinical minimum.

Assign retention per record type, keep litigation holds enforceable at the record level, and carry 42 CFR Part 2 consent controls into the archive for any substance-use-disorder treatment records the practice held.

Retention periods vary by state, record type and patient age. See hospital record retention by state and defensible disposition, and confirm the schedule with your counsel and records management team.

What does a phased Centricity decommissioning look like?

InterScripts runs Centricity retirements through the four phases of the 12-step legacy EHR decommissioning playbook. A single system typically takes 9 to 18 months end to end.

  1. Phase 1 · Steps 1 to 4

    Discover and plan

Inventory, dependency mapping, retention-schedule mapping and a written disposition policy.

Confirm each Centricity product, version and hosting model in use. Inventory clinical, practice management and billing stores, scanned-document locations and interfaces, then assign retention by record type.

  2. Phase 2 · Steps 5 to 7

Select the archive and move the data

Platform selection, full and incremental source extraction, then ingest with validation and reconciliation.

Extract clinical and financial data in full, then incrementally until cutover. Match patient identity across stores, reconcile counts, and have clinical and billing owners sign off on sample charts and accounts.

  3. Phase 3 · Steps 8 to 10

    Cut over and prove retrieval

Interface sunset, ROI and disclosure workflow validation, and a read-only sustainment window, typically 6 to 12 months.

Retire Centricity interfaces after each consumer has a replacement. Keep Centricity read-only for the sustainment window while release of information, chart recall and collections run from BytePad.

  4. Phase 4 · Steps 11 and 12

    Sunset and hand off

License termination, infrastructure decommission under chain of custody, and operational handoff.

End Centricity licenses and support, sanitize servers and storage under a documented chain of custody, and hand the archive to business-as-usual ownership.

What do teams ask about Centricity archiving?

Can BytePad archive GE Centricity EMR and Centricity Practice Solution?

Yes. InterScripts has archived and decommissioned GE Centricity environments. Clinical and practice management data are extracted, matched on patient identity, validated with schema validation and record-count reconciliation, and loaded into BytePad with chain-of-custody preserved.

Who owns the Centricity products today?

In 2018 GE sold Centricity Business, Centricity Group Management, Centricity Practice Solution and Centricity EMR to Virence Health, a Veritas Capital company. Virence was combined with athenahealth after Veritas acquired athenahealth in 2019, and Centricity Business was renamed athenaIDX in 2020.

Can we keep working old Centricity Business balances after retiring it?

Yes. The BytePad AR Workdown module supports cash posting, reconciliation and workflow management for legacy claims data, so finance can work remaining balances from the archive instead of keeping Centricity Business running.

How long does a Centricity decommissioning take?

A single legacy system typically takes 9 to 18 months from inventory to final sunset, including a 6 to 12 month read-only sustainment window. Practices with one Centricity database and modest document volumes tend to land at the shorter end.
